How We Work — Our 4-Month Healthcare Marketing Engagement

Done-for-you setup. Ongoing optimization. Coaching at every step. A focused four-month engagement designed to install your marketing operating system, prove the model, and decide together what comes next.

The model

Why we built this engagement model

We didn’t pick four months because it sounded clean. We picked it because it’s the smallest unit of time that actually proves whether marketing is working. Pricing transparency tells you what it costs. This page tells you why the structure is what it is.

One-off projects fail healthcare practices. The agency builds the website, hands over the keys, and disappears. Six months later you have a beautiful site that nobody visits and an empty calendar. The work isn’t done; it’s just abandoned.

Twelve-month contracts fail healthcare practices too. By the time you realize the agency isn’t producing, you’re six months in and locked into another six. Money that should have funded growth is funding inertia.

Four months is the engineered middle. Long enough to install the systems, launch the campaigns, gather real data, and optimize based on it. Short enough that you’re never trapped — at the end of month four, you decide whether to continue with a monthly retainer or part ways. We earn the next month every month.

The 4-month timeline

Setup. Launch. Optimize. Scale.

Setup

The heavy lift. We arrive, audit, build, and install your full marketing operating system.

Launch

Campaigns go live. Money moves. New patients land in your CRM.

Optimize

We tighten the funnel — double down on what works, kill what doesn’t.

Scale

Fuel on what’s working. We decide together what comes next.

Month 1: Done-For-You Setup

The first month is the heavy lift. We arrive, audit, build, and install. By the end of month one, your practice has a full marketing operating system in place — built to be deployed in month two. See the AI marketing automation we install.

What gets delivered:

Month 2: Launch

Campaigns go live. Money moves. New patients land in your CRM. This is where the build pays back.

What gets delivered:

Month 3: Optimize

We tighten the funnel. The data from month two tells us what’s working. We double down on the channels and offers producing the best returns, and kill the ones that aren’t.

What gets delivered:

Month 4: Scale

We pour fuel on what’s working. We make the call together about what comes next.

After the engagement

What happens after month 4

Most clients continue. Some pause. Both are okay.

If you continue, the monthly retainer covers ongoing campaign management, content production, automation maintenance, reporting, and strategic coaching. Retainer pricing typically lands between $1,500 and $3,500 per month based on your scale and service mix.

If you pause, you keep the website, the brand assets, the GoHighLevel account, and every piece of intellectual property we built together. There are no hostage-taking clauses, no asset claw-back provisions, no penalties for choosing to part ways. We’d rather have you leave on good terms and come back later than feel trapped.

The coaching layer

Why we include coaching with done-for-you

Most agencies operate on the assumption that you don’t need to understand what they’re doing — just trust the reports. We disagree.

Every engagement includes weekly or biweekly strategy calls between you and Kerwayne. These aren’t status updates; they’re working sessions. We walk through the numbers together, talk about what’s working and what isn’t, and make decisions on the next moves. By month four, you understand your marketing well enough to make informed strategic decisions on your own — even if you keep us on retainer to execute.

We also coach your front desk. Most healthcare practices have an operational gap at the patient intake layer that no amount of marketing can fix. We train your team on the automation workflows, the booking system, the HIPAA-aware patient communication standards, and the conversion-driving conversation patterns that turn inquiries into booked appointments.

Information gain — honest boundaries

What we will NOT do in the engagement

Boundaries build trust. Here’s what’s explicitly out of scope:

  • We will not sign a 12-month contract. The 4-month engagement plus optional monthly retainer is the only structure we offer.
  • We will not promise specific SEO rankings. SEO outcomes depend on competitive dynamics outside any agency’s direct control. We commit to the inputs (content, technical SEO, citations); we won’t promise outputs.
  • We will not run ads through our own accounts and mark up your ad spend. Your Google Ads and Meta Ads accounts stay in your name; you pay the platforms directly; we never touch your ad budget.
  • We will not auto-renew your engagement. Every continuation is a deliberate decision you make.
  • We will not work with a competitor in your metro for the duration of the engagement. Period.
FAQ

Common questions about the engagement

You can. We don’t have early-termination fees. If you cancel between months 1 and 4, you pay for the work completed and we hand over the assets. We’d rather have an honest conversation than retain a client who isn’t getting value.

Practice information, brand assets if you have them, and access to your existing platforms (Google Business Profile, ad accounts, social accounts). We handle the rest.

Freelancers do one thing. We deliver an integrated marketing operating system across six service areas, with founder-level strategic oversight and HIPAA-aligned compliance built in. The price reflects the difference.

If your existing website meets conversion and technical standards, we optimize it rather than rebuild it. We make that call after the audit in week one. You’re not paying for a rebuild you don’t need.
